MOSAIC Design + Build is a boutique residential renovation company having been in business for more than 30 years. We are a cohesive team of designers, architects, project managers, construction managers and administrative professionals located in the Dunwoody/Sandy Springs/Chamblee area. We are looking to hire a part time Executive assistant (24-32 hrs/wk) to assist the owner of the firm. The Executive Assistant will help manage the day-to-day administrative responsibilities for the company owner that may include calendar management, scheduling appointments, assistance with sales prospects, client communication on behalf of the owner, project management, coordinating warranty requests, meeting preparations, as well as various other administrative duties and small projects.
To be successful in this role, the ideal candidate should be well-organized, very good with Microsoft Word and Excel, learn quickly and be able to communicate clearly and effectively with team members and clients. You should also have great time management skills, be a team player and be able to act with minimal guidance after training. We have a very collaborative culture where everyone supports and assists one another, so the ability to work with others is very important. Ultimately, you will contribute to the efficiency of our entire organization by providing personalized and timely executive support.
Responsibilities:

Support the company owner in all administrative duties

Complete broad range of administrative tasks including projects, documents, reports, presentations etc.

Maintain communication with other departments and provide information and documents as needed

Coordinate meetings and assist with staff meetings

Write and edit documents from letters to reports

Create and maintain filing systems, both electronic and physical
Requirements:

The Pre Construction Manager at MOSAIC Design + Build is responsible for supporting our Project Designers/Project Managers to ensure their projects are designed, estimated, bid, packaged and ready for our Production team on schedule and complete. This role will facilitate weekly meetings, monitor project milestones and ensure the pre construction process runs smoothly and our clients are excited to get started. Responsibilities will include the monitoring of Design budgets, Construction budgets, timelines, commitments, etc. This role will also be responsible for the documentation of company processes to assist in onboarding and training new team members.
