Our Process

At MOSAIC, we fully integrate the design with the pricing from the very start, which is very appealing to our clients. We work diligently with our clients to make all decisions and finish selections before the swing of the first hammer. This creates real “peace of mind” and allows MOSAIC to provide a fixed price contract that is all inclusive without guesswork or variables. Our process is completely collaborative with our clients, which allows for constant communication and proper management of expectations.

We have everyone you will need under one roof, from the architect to the interior designer, to the kitchen and bath designer, to the estimator, project manager, and all trades needed to remodel your home. There is no need for you to cobble together separate designers and contractors, which could ultimately lead to discord. MOSAIC provides one point of accountability and manages the entire process from start to finish. We do our very best to make the experience as stress-free as possible.

At MOSAIC Design + Build, our goal isn’t to push your budget to its limit—it’s to maximize the value of every dollar you invest. We take the time to explore what’s possible at a range of price points, working closely with you to find the perfect balance between your vision and your comfort level. Together, we’ll craft a renovation that’s not only beautiful and functional but also aligned with your priorities and investment.

Step 1:

Discovery Video Call (45-60 minutes) with the MOSAIC Design Team

  • Review the General Scope of your project
    • Let’s define the scope of your project, identifying what’s easily attainable and where we might explore creative design solutions.
  • Establish goals and a budget for your project:
    • Share your vision with us – what do you hope to achieve with your remodel, and how do you want your space to feel?
    • Tell us about your style! What inspires you? What colors, textures, and finishes feel like “home” to you?
    • Browse our portfolio of beautifully completed projects to see real transformations, including spaces similar to yours and their actual costs.
    • Let’s set a realistic budget together—we’ll provide transparent insights based on our industry expertise and the details of your unique project.
    • We’re here to answer any questions you have about our team, our process, and what it’s like to work with us!

Step 2:

Design and Estimating Phase (4-8 weeks)
Cost: 3% - 5% of budget (ex. $200k budget x 4% = $8,000.00+/-)
All design and planning time are done on an hourly basis

  • Sign engagement letter
  • In-home consultation/measure/scan space
    • Meet your dedicated Designer/Project Leader, your go-to guide throughout the entire process. This is a great time to share any additional details or ideas you have!
    • We’ll take a deep dive into your project scope right in your home, discussing your plans in detail.
    • We’ll capture precise measurements, take plenty of photos, and make detailed notes about your must-haves and wish-list items.
    • Our team will gather essential details about your property, including lot lines, setbacks, load-bearing walls, mechanical systems, and existing structural elements.
  • Prepare preliminary design
    • Back at the office, we’ll dive into planning. After seeing your space in person, we’ll refine our understanding of your Comfort Zone budget and present 1-3 design alternatives, including floor plans and 3D renderings to help you decide where to invest.
  • Create preliminary estimate
    • We’ll create a detailed written proposal outlining expected costs. Material selections will be included and listed as “placeholders”, giving you flexibility while ensuring the scope reflects your style and vision.
  • In-person presentation at the MOSAIC office
  • Revise the design and estimate
    • Based on your feedback and initial pricing, we will revise the design and update the estimated costs. Pricing is typically shown by location so that you remain fully informed about what drives the costs.
  • Decision to move forward
    • This is where you lock in your construction start date and we schedule all of the next steps in preparing your project for success.

Step 3:

Detailed Design Phase (2-3 months)
Cost: 4-6% of estimate (ex. $200k estimate x 5% = $10,000.00)

Our Project Lead Designer will work closely with you to fine tune important details and really hone in on final layout tweaks and material selections. In this phase, you will finalize everything needed to bring your vision to life. You have also secured a spot on our schedule.

  • Revise initial plans. Present detailed 3D renderings
    • Refine your initial plans with thoughtful revisions to ensure your design aligns perfectly with your vision.
    • Experience your future space like never before with a 3D design package
  • Client selections
    • Dive deep into the design process, selecting materials, finishes, and details that bring your dream space to life. Visit the MOSAIC Design Center for a dedicated session with our cabinet designer, where you’ll select styles, finishes, and finalize the layout, including accessories, molding, and custom modifications.
    • Finalize additional selections virtually, from flooring and plumbing fixtures to hardware, lighting, paint colors, and accessories—tailoring every detail to your taste.
    • See everything come together with a mood board presentation that showcases how all your selections complement one another.
  • Prepare technical drawings
    • MOSAIC will present one or two carefully curated floor plan options along with black-and-white perspective drawings to help you visualize the possibilities.
  • Trade site visit
    • We’ll conduct a diagnostic visit to your home, opening walls or inspecting key areas as needed to ensure your design can be executed smoothly, without surprises.
  • Submit for building permit
  • Prepare contract documents
    • Receive an updated No-Surprises proposal that includes all selected materials, providing a clear and comprehensive total build-contract price
    • Our goal is to align your budget and scope efficiently, keeping the process streamlined while making the most of your time and investment.

Step 4:

Pre-Construction Phase (1 month)

Materials have been ordered, lead times tracked, and you have secured a spot on our schedule. Now the real fun begins! Our expert craftsmen will work hand-in-hand with our design team to ensure that your dream vision comes to life. Your dedicated Construction Manager is your guide to all things involving schedule and construction site management, and our team will meet with you at multiple junctures of your project to track progress and confirm any remaining details.

    • Stay organized with our Construction Management software, designed to keep communication seamless, budgets transparent, and schedules up to date.
    • Stay closely connected with your Construction Manager and Design Lead at key project milestones to review progress, confirm details, and finalize any last-minute decisions.
